1. Who we are. haulplace is operated by ID MEDIA LLC (Darien, IL), which runs haulplace.com, a platform for trucking professionals and companies. In this policy "we" and "us" mean ID MEDIA LLC. Contact: info@haulplace.com.

2. What we collect from you directly. Your email address, which is how you sign in. The profile you write: your name, role, city and state, CDL class, experience, the photo and cover image you upload, and for a company its name, USDOT and MC numbers. Messages you send other members, including photos, files and voice notes. Problem reports and anything you email us. Basic technical details that arrive with a request, such as browser type and language.

3. What a company stores about its own people and equipment. If you run a fleet on haulplace, you enter records about your business. These usually include: vehicles and trailers (VIN, plate, make, year); your drivers and staff (name, phone, email, home address, date of birth, CDL number and state, endorsements and restrictions, hire and termination dates, pay method and pay rate); documents you upload for them (licenses, medical cards, insurance certificates, permits, scanned paperwork); your loads, invoices, costs and IFTA mileage. Social Security numbers and bank details, if you enter them, are held in a separate restricted table that ordinary members of your fleet cannot read and that is never returned by our public API. We store this information on your behalf so you can run your business. The company that entered it decides what goes in and can delete it.

4. Vehicle location, if you connect an ELD. Connecting a Samsara or Motive account is optional and is done by you, with your own credentials. While it is connected we regularly receive and store your vehicles' positions, odometer readings and related telematics so the map, mileage and IFTA figures work. This is continuous location data about your trucks. Disconnecting the ELD in My Fleet stops it.

5. Employment verification. A carrier can use haulplace to ask a driver's previous employer to confirm employment, and can answer such requests about its own former drivers. When a request is sent, the previous employer receives the driver's name, the period claimed and a signed release, and their answer is returned to the carrier who asked. haulplace carries the request and the answer between the two employers and keeps a record of it. Each employer remains responsible for its own obligations under the law that applies to it, including the driver's authorisation.

6. Accounting, if you connect QuickBooks. Connecting a QuickBooks Online company is optional, is started by you from Billing setup, and uses your own Intuit sign-in. You choose which company it applies to. While it is connected, an invoice you choose to send goes into that company: its number, date, terms, line items and amounts, and the customer it is billed to, created there if it is not already. If you factor, the notice of assignment goes across with it. We read your company name, so we can show you which company is connected, and your customer list, so an invoice attaches to the right customer instead of making a duplicate. We do not touch payroll, employees, bank feeds or bank balances, and haulplace subscriptions are billed by Stripe and never through QuickBooks. The sign-in tokens Intuit issues us are held in a restricted table that no member of your fleet can read. Disconnecting, either in haulplace or from the apps list inside QuickBooks, stops all of it at once, and we keep no QuickBooks sign-in details afterwards.

7. Notifications and payments. If you turn on notifications, your browser gives us a subscription that lets us send them; turning them off removes it. If you buy a paid plan or a placement, Stripe processes the payment on its own checkout and receives your email address, billing name and billing address and your card details. We never see or store your full card number. We do keep a record of what you subscribed to and when.

8. How we use it. To create and show your profile as you direct, to let companies find professionals, to sign you in with one-time email codes, to run the tools you use (loads, invoices, IFTA, documents, messages, the map), to notify you about your account, to take payment, and to keep the platform working and safe. We do not sell your personal information, and we do not run advertising trackers.

9. What other people can see. Your profile has a public page on haulplace.com carrying your name, photo, cover, role, city and state. Anyone on the web can open it, and search engines such as Google can index it and keep it in their results. Everything else on your profile is shown only to signed-in members. The public page is on by default and you can turn it off at any time in Settings, but a search engine may keep its own copy for some time afterwards. Your phone number is never shown in search. Other members can see when you were last active and whether you are online, and can find you by name in people search. Your visibility settings control this and you can change them at any time. Beside your name, other signed-in members also see a small coloured mark showing which haulplace plan your account is on, and no mark at all if you are on the free plan. It shows the plan and nothing else — never an amount, a card, an invoice or a billing date. What you store inside My Fleet — vehicles, driver records, loads, invoices, documents — is private to your fleet and the people you have invited, and is never public. A vendor listing you claim is public by its nature.

10. When we access your account or your content. A small number of named administrators at ID MEDIA LLC can reach what is described above, including the email address and phone number held on your account, when it was created and when it was last signed in to, the records inside your fleet, and the messages members send each other. We do this only to keep the platform working and safe: to look into a report somebody has made, to investigate suspected fraud, abuse, or a breach of our Terms, to fix a fault — including one you have asked us to fix — and to meet a legal obligation such as a valid subpoena or court order. We do not read your messages to sell you anything, to build advertising profiles, or to train software. Whenever an administrator opens a member's conversation, our system records who opened it, when, and the reason they gave, before a single message is returned; that record cannot be edited or deleted by anyone, including us. We do not notify the people in a conversation when it is opened, because telling someone we are investigating them for fraud or harassment would defeat the point of looking. If you write to info@haulplace.com to ask whether your account has been opened this way, we will check that record and tell you, unless doing so would interfere with an active investigation or break the law.

11. If you create an API key. A fleet owner can create a key that lets their own software read that fleet's loads, vehicles, drivers and invoices. The key is read-only and deliberately never returns dates of birth, CDL numbers, pay rates, home addresses, Social Security numbers or bank details. If you create a key, you are choosing to send the rest to whatever software you give it to, and you are responsible for that software. You can revoke a key at any time.

12. Who else handles the data. We use vetted service providers and give them only what their job needs: Supabase (accounts, database and file storage), Cloudflare (website hosting), Resend (email delivery), Stripe (payments), Google (a waitlist sheet), and — each only if you connect it — Intuit (QuickBooks Online) or Samsara or Motive if — and only if — you connect one. Our public services directory is built from open data (OpenStreetMap and Overture) and contains business listings, not personal profiles.

13. Cookies and local storage. We use your browser's local storage, not advertising cookies: your sign-in session, your language, your display preferences, and — so you do not have to type it again — the email address you last signed in with. "Not your email? Forget it" on the sign-in screen removes that last one from the device.

14. How long we keep it. We keep your account and its contents while your account exists. Business records a company is required to keep, such as driver qualification documents and invoices, stay until that company deletes them. Ask us to delete your account and we will remove your profile and personal data; records that belong to a company you worked for remain that company's to delete.

15. Security. Access is enforced in the database itself, not only in the app: each fleet can read only its own rows, the restricted table holding Social Security and bank details is closed to ordinary fleet members, and the public API has no privilege to read those columns at all. No system is perfect, and we will tell affected users if something goes wrong.

16. Your choices. You can edit your profile and your visibility at any time, disconnect an ELD, revoke an API key, turn off notifications, and ask us to delete your account and data by emailing info@haulplace.com from your registered address. We act on verified requests within 30 days.

17. Children. haulplace is for adults working in the trucking industry and is not directed to anyone under 18.

18. Changes. We'll post any update to this policy on this page with a new effective date. Questions: info@haulplace.com.

1. Agreement. By using haulplace.com you agree to these terms. If you don't agree, please don't use the platform.

2. The service. haulplace is operated by ID MEDIA LLC (Darien, IL). The platform lets trucking professionals create profiles, lets companies discover and contact them, and provides load and invoice records, document storage, fleet and compliance date tracking, an equipment marketplace, a services directory, and search across these. Some features may change. Driver profiles are free. One truck and one user are free; running more than one truck or putting more than one person on the account requires a paid plan (see section 15).

3. Your account. You must be 18+ and provide accurate information. You're responsible for activity under your account and for keeping access to your email secure. One person or company per account.

4. Acceptable use. Don't post false credentials or impersonate others; don't scrape, harvest, or resell data from the platform; don't use haulplace to spam or harass; don't upload unlawful content. Company accounts must represent a real carrier or trucking business — we may verify against FMCSA records and suspend accounts that misrepresent themselves.

5. Your content. You own what you post and grant us a license to display it as needed to operate the service. You can edit or delete it anytime.

6. Third-party data. Map and facility information comes from community sources (OpenStreetMap) and government records (FMCSA) and is provided "as is" — verify critical details (like bridge clearances) with official signage and sources. haulplace is not responsible for decisions made based on this data.

7. No employment guarantee. haulplace is a platform, not an employer, recruiter, or agent. We don't guarantee offers, hires, or the conduct of any user or company.

8. Termination. You can stop using haulplace anytime and request account deletion. We may suspend accounts that violate these terms.

9. Disclaimers and liability. The service is provided "as is" without warranties. To the maximum extent permitted by law, haulplace's liability is limited to the amount you paid us in the past 12 months (currently $0 for free accounts).

10. Our intellectual property. The haulplace name, logo, design, software, and all platform content we created are the property of ID MEDIA LLC and are protected by copyright and trademark law. You may not copy, reproduce, or create derivative versions of the platform or its brand without our written permission.

11. Marketplace and directory listings. Listings in the Equipment Marketplace and Services Directory are posted by users. haulplace is not a party to any transaction between users, does not verify listings or guarantee the condition, legality, or availability of anything listed, and is not responsible for payments, deliveries, or disputes between users. Inspect equipment and verify sellers and service providers before paying anyone.

12. Communications. By creating an account you agree to receive transactional emails from us: sign-in codes, profile renewal reminders, and contact requests from verified companies. We don't sell your email, and your contact details stay private until you choose to reply to a company.

13. Invoices and documents you create. haulplace can generate an invoice from information you enter and assemble it with documents you upload. You are responsible for the accuracy of everything on that invoice — amounts, dates, load and reference numbers, and the remit-to details, including any notice of assignment required by your factoring company. haulplace is not your accountant, bookkeeper, factoring company, or tax adviser, does not process or hold payments, and does not guarantee that any invoice will be accepted or paid. Documents you upload are stored privately and are visible only to you and to people you have added to your account. You can delete them at any time; deleting your account deletes them. Every plan includes an amount of saved documents or storage, shown on the pricing page; the free plan saves up to 50 documents, and storage above an included amount is charged per gigabyte at the rate shown there. When you reach the limit of your plan you can still scan, download and share documents — only saving a new one stops. You can free up room by deleting documents you no longer need, or move to a plan with more room. We do not delete your documents to make space.

14. Compliance tracking. Expiry dates, reminders and record logs are an administrative convenience based on what you enter. They are not legal or regulatory advice and do not certify that you are compliant with FMCSA, DOT or state requirements. A date we do not warn you about is not our responsibility — you remain responsible for your own compliance.

15. Paid plans and billing. A free account covers one truck and one user. Paid plans are Cab, currently $4.99 per month for one truck and one person, Road, currently $49 per month including two trucks and three users, and Office, currently $149 per month including five trucks and fifteen users. Cab is a flat price: it covers one truck and one person and is not charged per truck. Each truck above the included number is $25 per month. You can pay monthly or yearly, and you choose which at checkout. A yearly plan costs ten months for twelve: Cab is currently $49.90 per year, Road $490 per year including two trucks, and Office $1,490 per year including five trucks, with each truck above the included number charged $250 per year. A yearly plan is paid once at the start of the year and renews on the same date unless you cancel. If you add a truck part-way through a paid year it is charged for the days remaining in that year and appears on your next invoice. Everything else in this section applies the same way to both. The number of users is a fixed limit of the plan rather than a per-user charge: the free plan covers one user, Road three and Office fifteen. If you need more users than your plan includes, move up a plan or write to info@haulplace.com. Road includes 25 GB of document storage and Office includes 150 GB; storage above the included amount is charged per gigabyte at the rate shown on the pricing page. Searching and contacting the driver base is part of Office. Your truck count is read from the vehicles on your account and is what the plan is billed on. What counts as a truck is exactly that: a truck. A trailer, or any other equipment you keep on the account, is never billed as one. If you add a truck during a month it is charged for the part of the month it was on the account, and that appears on your next invoice. If you remove or retire a truck, the lower price takes effect at your next renewal and we do not credit the part of the month you have already paid for. New accounts get a 14-day trial of a paid plan; no card is required and nothing is charged during it. If you do not continue, the account returns to the free plan and your data stays — you keep read access to what you entered. If you start a paid plan while a trial is still running, the trial is not cut short: your card is taken at that point but the first charge falls on the date the trial would have ended. If you stop paying, your documents stay. If your subscription ends or a payment fails, your account returns to the free plan and everything you have already saved remains available to view, download and delete, for as long as your account is open. What stops is saving new documents beyond the free plan's limit. We do not delete, archive or lock documents because a payment ended. If you want your documents removed, you can delete them yourself at any time. We will give at least 30 days' notice by email before any change that affects what you pay. PRIME placement. A business that has claimed its listing in the Services Directory may also buy a PRIME placement, which puts that listing at the top of its state on haulplace for as long as it is paid. There are three PRIME spots per state, currently $299, $199 and $129 per month for spot one, two and three. It is a monthly subscription and it is cancelled the same way as any other plan. We rent the space; we do not promise how many people will see or click a listing, any more than a billboard does. A spot is held while it is paid for. When it is released, anyone else may buy it, and we do not reserve or hold spots in advance. If two businesses pay for the same spot at the same moment, only the first is placed and the second subscription is cancelled and refunded in full automatically. FEATURED placement. A business that has claimed its listing may also buy a FEATURED placement, which raises that listing near the top of its own category, in its own state, inside the Services Directory. There are five FEATURED spots per category per state, at $19 per month each. It is a monthly subscription and it is cancelled the same way as any other plan. A FEATURED listing is marked Sponsored wherever it appears, so a visitor can always tell that the position was paid for. PRIME placements always rank above FEATURED ones; a business that already holds a PRIME spot cannot buy a FEATURED spot, because it would change nothing. FEATURED placement does not affect the roadside “find help near me” results, which are ordered by distance alone and are never sold. As with PRIME, we rent the space and do not promise results, a spot is held while it is paid for, a released spot is first come with no reservations, and if two businesses pay for the same spot at the same moment only the first is placed and the second subscription is cancelled and refunded in full automatically.

16. Cancellation and refunds. You can cancel at any time from your account: open Plan, then Manage billing, then Cancel subscription. You do not need to email or call us, and we will not ask you to speak to anyone first. Cancellation takes effect at the end of the period you have already paid for: you keep full access until that date and nothing further is charged. We do not refund the unused part of a period that has already been paid — because cancellation runs to the end of that period, you always receive the full month you paid for. When the plan ends the account returns to the free plan; your data is not deleted, you keep read access to everything you entered, and starting a paid plan again restores full use. If a payment fails we retry it and email you; if it still cannot be collected the plan ends and the account returns to the free plan.

17. Changes to these terms. We may update these terms as the platform grows. The current version is always at haulplace.com with its effective date; continued use after changes means you accept them.
